Queen’s Own is a fan club for readers of Mercedes Lackey’s work. This policy covers personal information handled by the club through its website, membership correspondence, newsletters, fanzines, and club activities. It does not govern independent websites or services linked from this site.
Contact us
For privacy questions or requests, contact the club coordinators: Linda A. Malcor at shashtah@gmail.com or Gregory Griffiths at rynok@yahoo.com. Please identify the page, publication, or record concerned and describe what you would like changed. Do not send identity documents or other sensitive information with your initial request.
Information you provide
Membership applications and persona submissions may include a name or pen name, persona name and description, email address, and other information you choose to provide. Correspondence and contributions may also contain personal information.
We use information needed to review applications, communicate about membership and club activities, respond to requests, and edit contributions for newsletters or fanzines. Optional biographical details are not needed simply to browse this website. Please avoid sending sensitive personal information or another person’s contact details without their permission.
Publication and your choices
Submitting an application or sending private correspondence is not permission to publish your real name, email address, or other identifying details. Before publishing new contributions containing those details, we will ask you to confirm which details may be made public and where they will appear. You may choose a pen name or persona name for attribution and decline publication of optional personal details.
The website, persona directories, newsletters, and fanzines can be publicly accessible, including as downloadable PDFs. Published material may be indexed by search engines, copied, or redistributed. A persona name can still identify you when linked to other information. Please consider these consequences when deciding what to share.
Existing publications and directories may contain information supplied under earlier practices. Their availability does not establish permission for new uses of that information. If an existing item contains personal information you want corrected or removed, please contact us.
Access, correction, and removal
You can ask what personal information the club holds about you, request a correction or deletion, withdraw permission for future publication, or ask to stop receiving club messages. We may need limited information to verify that a request concerns you. We will explain any information we cannot remove and the reason, including any applicable recordkeeping obligation.
We can update material we control, but cannot guarantee removal from copies already downloaded or printed, search-engine caches, independent archives, or other people’s posts. Removal from a public page may not immediately remove older backup copies. Withdrawing permission does not undo distribution that has already occurred.
Who may receive information
Club coordinators and editors receive information needed for their roles. Hosting, file-delivery, and email providers may process information to operate these services. Information may also need to be disclosed when required by law or to respond to a legitimate security incident. Public publication is a separate disclosure, subject to the choices described above.
We do not sell members’ personal information or provide membership contact lists to businesses for their marketing.
Website requests and external services
Browsing this site and downloading publications involves requests to website and file-hosting providers. Those providers may process IP addresses, requested URLs, timestamps, and browser or device information for delivery, security, and service operation. The website is hosted on Netlify; publication downloads are served from files.queensown.org. Provider settings and retention practices affect how request information is handled.
Some older pages include images hosted by other websites. Loading those images can send connection information to their hosts, even without clicking a link. Your browser’s security and privacy settings may block or restrict these requests.
Facebook pages, groups, and role-playing rooms operate under Facebook’s own privacy terms and settings. A restricted group is not a guarantee of confidentiality: participants may copy or share posts. Other linked websites also have their own policies. Please check the audience and service settings before posting personal information.
Retention and security
We will retain nonpublic personal information only for as long as needed for the purposes described here and any applicable obligations, and limit access to people who need it for club work. Public contributions may remain in the publication archive unless changed or removed following a request. We will use reasonable safeguards appropriate to the information we handle; no website, email service, or storage system can guarantee complete security.
Children’s information
Please do not submit a child’s personal contact details for public publication. A parent or guardian can contact the coordinators about information relating to their child. Any collection or publication involving children must follow applicable consent and privacy requirements; submitting information is not a substitute for any required parental permission.
Changes to this policy
We will post revised policy text here when our practices change. Where a new use or disclosure requires your permission, a policy update alone will not replace obtaining that permission.
